Privacy Policy
This policy is designed to bring the FCBG into line with the General Data Protection Regulation which came into force on 25th May 2018.
Data held by the FCBG
Membership of FCBG requires holding the member's contact details. These comprise:
Name
Postal Address
Telephone number
Email address
Subscription payment details (current method and amount of payment – no bank details are held)
This data is held by the Treasurer and Membership Secretary and is available to the Bookkeeper and Newsletter Editor.
The Treasurer and Membership Secretary is responsible for making sure that records are kept up-to-date.
No other personal data is held on the FCBG database.
Reasons for holding this data
The data is held so that the Committee can
inform members of forthcoming events and meetings
distribute the newsletter (4 a year) and lecture schedule
track subscription payments to keep a valid membership list
Data Sharing
The data is not shared with any other party or organisation.
Measures will be taken (e.g. use of BCC on emails) to ensure that the data is not shared across the Friends group.
Member's contact details will not be shared with other members without their consent.
Termination of membership
A member can terminate his or her membership at any time on request.
In the case of a death, membership can be terminated by a relative or friend.
If the annual subscription is not renewed, and a member fails to respond to two renewal reminders, membership will be terminated.
Retention of data
Members' contact details are retained during the course of their membership.
Following termination of membership, details may be retained on the FCBG database in case of renewal, but if requested by the ex-member, personal data will be permanently deleted.
Subject data access
If you are a member of FCBG:
You are entitled to request details of any personal information held about you on the Friends database. This will be provided as soon as expedient, in any case within one month.
FCBG undertake to correct any errors in your personal data, and to update your records in a timely manner if your contact details change.
If requested (and postage is paid) newsletters will be sent to you by post
If no postage payment is made, newsletters will be sent to you by email
Information on events and talks will be sent by email to all members who supply an email address
FCBG may publish photographs of Friends events or activities in the newsletters, or on the Friends website. You will not be identified by name as appearing in such photographs without your consent.
Notwithstanding the above, if a photograph of you appears on the Friends website, you may request its removal. In this case FCBG will remove the photograph from the site as soon as expedient.
If you are no longer a member, as stated above, you may request to have any personal information about you permanently deleted from the FCBG database.
As a member of the Friends, the information you have supplied to us will be used to administer your membership and tell you about the work of the Friends, including sending you the newsletter. If you no longer wish to hear from us, or would like a copy of the information held, please contact friendsofcbgmembership@gmail.com, or write to the Membership Secretary at the address below.
